This policy explains how DemoRod ("we", "us") collects and uses personal information when you contact us, book work or visit this website. We are the data controller. DemoRod is a sole trader trading as DemoRod.
What we collect
- Enquiry and booking details: name, phone number, email, address and postcode, details of the work requested, and any photos or messages you send.
- Job records: appliance details (for example boiler make and model), service dates, certificates issued (such as Landlord Gas Safety Records) and invoices.
- Website data: essential cookies needed for the site to work and, only if you accept them, analytics cookies. See our cookie policy.
Why we use it and our lawful basis
- To respond to enquiries and provide quotes: taking steps at your request before entering a contract.
- To carry out and invoice the work, and honour our guarantee: performance of a contract.
- To keep gas safety and job records: legal obligation (Gas Safety (Installation and Use) Regulations 1998 require landlord records to be kept for at least two years) and legitimate interests in defending claims.
- To send service reminders or occasional offers by email or text: consent, which you can withdraw at any time by replying STOP or emailing us.
- Website analytics: consent.
Who we share it with
We share data only where necessary: with our engineers and office staff; suppliers who process data for us (email, text messaging, job-management, accounting and web-hosting providers, all under contract); manufacturers when registering a warranty; Gas Safe Register when notifying a gas installation; finance or payment providers if you choose to use them; and where the law requires. We do not sell personal data.
How long we keep it
Enquiries that do not lead to work: 12 months. Job, invoice and guarantee records: 6 years after the work (limitation period). Gas safety records: at least 2 years and normally 6. Marketing consents: until you withdraw them.
Your rights
Under UK GDPR you can ask to access, correct, erase or restrict your data, object to processing, request a copy in a portable format, and withdraw consent. Email hello@example.com or write to 12 Example Street, Leeds, LS1 1AA. We will respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113.
Security
Data is stored on password-protected systems within the UK or EEA, or with providers offering adequate safeguards. Only staff who need it can access it.
